An honest note on how these integrations actually work

Vendor marketing tends to describe property management integrations as if they were a switch. In practice, the major enterprise platforms gate API access behind partner programs. Yardi, MRI, RealPage, and AppFolio all require enrollment and approval before a third party can connect to your instance, and that approval runs on the vendor's timeline rather than your project schedule.

This is worth knowing at kickoff rather than midway through a build. It does not make integration difficult, it makes it something to start early. Any agency telling you a Yardi connection is a quick plug-in has probably not done one.

What we commonly connect

Property management and asset platforms

Yardi is the default for institutional commercial operators, with the deepest commercial lease engine for percentage rent, CAM and NNN recoveries, escalations, and option tracking. MRI Software tends to fit commercial-heavy owners in office, retail, and industrial, and has the most open integration posture of the enterprise platforms. VTS is a leasing and deal pipeline layer that sits alongside an ERP rather than replacing it. RealPage and Entrata skew multifamily.

Which one you run matters less than whether the data you want on the website actually lives there in a structured form. Availability data is frequently maintained in a spreadsheet even at firms running a full ERP.

Listing syndication

CoStar and LoopNet, Crexi, CommercialCafe, and Catylist all have their own submission models. Some firms syndicate outward from their site, others pull inward from a syndication service. Deciding the direction of truth early prevents the most common failure mode, which is three systems disagreeing about whether a suite is available.

CRM and marketing automation

HubSpot and Salesforce are the most common destinations for website leads. The valuable part is not the connection itself but what travels with it: which property generated the inquiry, which broker owns it, which campaign or search brought the visitor, and what they viewed beforehand. Three architectures, and when each fits

Manual CMS entry. Your team maintains listings directly in the website CMS. Best for firms with a modest number of active availabilities and a marketing coordinator who owns the data. Lowest complexity, fastest to launch, no integration risk. Underrated.

Scheduled sync. A recurring job pulls availability from the source system into the CMS. Best for portfolios where data changes regularly but not by the minute. This covers most of our clients.

Live API. The site queries the source system on page load. Necessary for genuinely real-time inventory, more demanding to build and maintain, and a single point of failure if the upstream system goes down. We recommend this less often than clients expect.

What we do before recommending an approach

We start with a data audit: where availability actually lives today, who updates it, how often it changes, and whether it is already structured or lives in a PDF. That audit determines the architecture. It is common to discover that the authoritative source is a broker's spreadsheet, in which case the right first move is fixing the process rather than building an integration on top of a broken input.

We also plan for failure explicitly. Syncs break, credentials expire, upstream schemas change. Sites we build fall back to last known good data and alert someone rather than displaying an empty listings page.

Planning implications
